During the last four weeks our volunteers have requested the contact details of approximately 100 of the projects that are currently available on the iT4Communities website. If the volunteer has requested contact details for your particular opportunity then you will have received an email from us saying:
"A volunteer has requested details of your Volunteer Opportunity . The volunteer's details are:
Name: A N Other
E-mail: another@another.co.uk
Your contact details have been sent to the volunteer and you should hear from them very soon."If a volunteer has been in contact with you and you have agreed that they can start work on your opportunity, we would like to know. Please email me at info@it4communities.org.uk with the name of your organisation and the name of the volunteer you have agreed to take on.
Alternatively you can 'assign' the volunteer to your opportunity yourself by following a few simple steps:
- Go to our website
- Sign in to the system with your username and password (if you don't recall them see below)
- Go to your volunteer opportunities list by clicking on 'Your volunteer opportunities' menu option, on the left hand side of the screen.
- Your screen will change to show a list of your Volunteer opportunities. The details will include the name of the Volunteer opportunity, its state and a description written by an iT4Communities project definer.
If the Volunteer opportunity is "Under consideration" by one or more volunteers you should be able to click on the name of the opportunity.- Your screen will show a list of 'Volunteers offering assistance'
- Having spoken to a volunteer you may choose to accept or decline their offer of help. To accept or decline the offer of help from a volunteer, click on the appropriate link next to their name. You'll be asked to confirm your decision.
If you accept a volunteer all other volunteers will automatically be declined. The 'Volunteer opportunity' state will be changed to 'In progress' and the volunteer name will be listed alongside the 'Volunteer opportunity' details. The Volunteer opportunity will also not be visible on the iT4C website.
If you have received an email from us saying a volunteer is trying to contact you (subject: "A volunteer has requested details of your volunteer opportunity"), but the volunteer has not yet contacted you, please take the initiative and contact the volunteer yourself. The volunteer may have tried to call and not got through or may have emailed you and the email may not have reached you. It's always OK to call volunteers who have requested contact. They have made the first move so go ahead and reciprocate.
Not only do we need you to contact us when you have agreed to take on a volunteer, we also need to know when the volunteer has completed work on your opportunity. To ensure we get the funding we need to continue providing the whole iT4Communities service, it is very important that we report the number of projects that have been started and completed.
